1. Scope and who this policy covers

This Privacy Policy applies when you visit bilingualtext.com, create or use a BilingualText account, upload an EPUB, purchase credits, contact us, or otherwise use our services.

BilingualText is the operator responsible for the personal information described in this policy. For questions or privacy requests, contact us at the email address shown below.

2. Information we collect

We collect only the information reasonably needed to provide, secure, support, and improve the Service. This can include:

• account information, such as your email address, account identifier, login information supplied by an authentication provider, and communication preferences;
• service and job information, such as EPUB filename, selected language pair, processing status, timestamps, translation progress, credit balance, and credit usage;
• file content and related technical metadata needed to process the source EPUB and create a preview or output EPUB;
• basic transaction metadata, such as purchase, payment status, amount, currency, processor reference, and billing history; and
• usage, device, log, and diagnostic information, including pages or features used, approximate location inferred from IP address, browser type, and events collected through Google Analytics 4.

3. How we use information

We use information to authenticate accounts; estimate and process translation jobs; create, deliver, and troubleshoot outputs; administer credits and payments; prevent fraud and abuse; maintain security; comply with law; and understand how the Service is used.

Where the GDPR applies, we process personal information as needed to perform our contract with you, pursue legitimate interests such as security and service improvement, comply with legal obligations, or on the basis of consent where applicable.

4. File retention and permanent deletion

Uploaded EPUB files, previews, intermediate processing files, and generated EPUB output files are used only to generate, continue, and make your requested result available for download. They are not retained as a book catalog or for public access.

These files are scheduled for permanent purge within 14 days of storage and may become unavailable earlier. Once deletion occurs, the file cannot be downloaded, continued, or restored. Keep your own lawful copy of files you need.

We may retain limited job, account, transaction, security, and support records longer where necessary for account administration, fraud prevention, dispute resolution, tax or legal recordkeeping, and operational reliability. Such records do not make the deleted EPUB available again.

5. Service providers and disclosures

We use trusted third-party providers to operate the Service, including authentication, cloud infrastructure and storage, email/support, payment processing, AI translation APIs, and analytics. These providers may process personal information or file text only as needed to provide their services to us or as otherwise described in their own policies.

Checkout and billing are handled by third-party payment processors. We do not receive or store complete payment-card numbers on BilingualText servers. We may disclose information where required by law, to protect rights and security, or in connection with a merger, financing, or transfer of the Service, subject to applicable law.

6. Cookies and analytics

BilingualText uses Google Analytics 4 (GA4) and may use cookies, local storage, pixels, or similar technologies to understand traffic, remember necessary settings, diagnose issues, and measure feature usage. GA4 may collect pseudonymous usage and device information in accordance with Google's terms and settings.

You can control cookies through your browser or device settings. Disabling cookies may affect parts of the Service. If applicable law gives you additional choices about analytics cookies, you may contact us using the details below.

7. International transfers and security

Our providers may process information in countries other than the one where you live. We take reasonable technical and organizational measures designed to protect information, but no internet transmission, storage system, or automated service can be guaranteed completely secure.

Do not upload information that you are not permitted to share. You are responsible for protecting your account credentials and for using a secure device and connection.

8. Your privacy rights

Depending on where you live and applicable law, you may have rights to request access, correction, deletion, portability, restriction, objection, or information about our processing of your personal information. California residents may have rights to know, delete, correct, limit certain uses of sensitive information, and not be discriminated against for exercising applicable privacy rights.

BilingualText does not sell personal information or share it for cross-context behavioral advertising. To submit a request, email us from the address associated with your account. We may ask for information necessary to verify the request and will respond as required by applicable law.

9. Children

The Service is not directed to children under the age at which they can validly consent to online services in their jurisdiction. Do not use BilingualText or provide personal information if you are not permitted to do so. If you believe a child has provided personal information without appropriate permission, contact us so we can review and take appropriate action.
